Schedule of Fees Template

On your behalf, Early Childhood Ireland, in consultation with the National Consumer Agency (NCA), has developed a ‘Schedule of Fees’ template to assist members in displaying their fees prominently and professionally, for parents/service users.

(This schedule does not include your fees schedule for the ECCE Scheme which is a separate schedule.)

We have made it as comprehensive as possible to cover most fee structures and we hope you find it helpful. It is meant only as a guide and it is recommended you amend according to your individual terms and conditions. Members absolutely retain their right and choice to negotiate rates with parents and we are confident that this template will be very useful to all concerned when used in conjunction with your fees and admissions policy.

 

Sample Fees Policy

  • Each service should have a clear and transparent fee policy

  • The fee policy should be documented and freely available to parents and others – and ideally should be kept within your parent handbook

  • Policy should state fee review date(s)

  • Parents should be issued with receipts for fees paid

  • Parents should be given at least one month’s notice of fee increases

  • Community Childcare Services should include a tiered fee structure which must be clearly outlined to parents

 

The fee policy should cover:

  • Fees payable for full-time and part time children

  • Fee payments in relation to holidays or child illness

  • State when fees should be paid – eg in advance or in arrears weekly, monthly, term time etc.

  • The number of weeks covered by fee

  • Methods of payment accepted – cheque, standing order or credit transfers, cash

  • There should be clearly defined (separate) fee policies for ECCE and non ECCE payments

  • Deposits – are they refundable?

  • How non-payment of fees will be dealt with

  • The fee policy should be signed and dated by the manager

 

As a member of Early Childhood Ireland we hope you will find this fees schedule useful. While you are not obliged to use it, we recommend you do. We are very confident that it will complement your service offering and be a support to the excellent work that you are already doing.
